Acknowledging the importance of protecting personal data as part of its social responsibility, Shima Trading Co., Ltd. (hereinafter the "Company") has established this Privacy Policy, as follows, in order to ensure appropriate protection of personal data.

1. Regulatory Compliance

The Company shall comply with applicable laws, regulations, and guidelines, etc. related to personal data protection, including but not limited to the Personal Information Protection Act, and continuously review and improve the Privacy Policy.

2. Collection, use, and provision of personal data to third parties

The Company shall collect and use personal data by legitimate and fair means to the extent necessary for the purposes established below. If any need arises to use personal data for any other purpose, the Company shall obtain the consent of principals in advance.

(4) The provision of information about the Company's business activities to shareholders and shareholder management

We will not disclose or provide collected personal data to any third party without the prior permission of principals unless such provision or disclosure is required under laws and regulations.

3. Management of personal data

The Company shall make commercially reasonable efforts to maintain the accuracy and currentness of personal data to the extent necessary to fulfill relevant purposes. In handling personal data, the Company shall take necessary and appropriate measures to prevent unauthorized access, loss, destruction, falsification, or leakage, etc. of personal data in order to ensure the safety of personal data.

4. Disclosure, correction, addition, deletion, and suspension of the use of personal data

According to applicable laws and regulations, the Company will appropriately respond to any requests from principals for disclosure, correction, addition, deletion, or suspension of the use of their personal data after an appropriate identity verification process.

5. Supervision of employees and contractors

The Company shall take necessary and appropriate security measures to ensure personal data security and exercise necessary and appropriate supervision of its employees. When consigning personal data handling operations to a third party, the Company shall also exercise necessary and appropriate supervision of the contracted third party in order to ensure security of relevant personal data.

6. Security Measures

Specific procedures regarding security measures for personal data are separately stipulated in the "Personal Data Protection and Management Procedures." Below is an outline of the procedures.

Establishment of basic policies:
・ To ensure appropriate handling of personal data, the Company has established relevant basic policies in compliance with applicable laws and regulations.
Organizational security measures:
・ The company has established an appropriate organizational structure for the thorough implementation of security measures and a secretariat under the HR department in order to maintain appropriate operations.
Personal security measures:
・ The Company has provided employees with regular training on personal data protection.
Physical security measures:
・ The Company has implemented physical security measures including employee access control, physical protection of equipment and devices, etc., and the complete destruction of personal data.
Technical security measures:
・ The Company has implemented data access control, access authority control, and protection against unauthorized external access or unauthorized software usage.

7. Continuous review

The Company inspects personal data handling, management, and commitment, and makes efforts for continuous review and improvement.

8. Contact information

The Company appoints the following department as the department in charge of personal data handling and appropriately responding to related inquiries. Please be advised that the Company does not accept any inquiries from visitors directly coming to the office.
